Welcome to Odom Enrichment Center. By accessing or using our services, including but not limited to therapeutic programs, individualized support plans, respite care, daily life coaching, behavior intervention, and enrichment activities, you agree to the terms outlined in this document. These Terms and Conditions govern your use of our services, participation in any activities, and your interactions with our staff and facility.

Service Eligibility

Our services are available to individuals diagnosed with intellectual or developmental disabilities, mental health conditions, or related behavioral and emotional needs. Eligibility is determined based on:

• Completion of an intake assessment
• Review of medical and behavioral history
• Consent from legal guardians or responsible parties, where applicable
• Agreement to participate in an Individualized Service Plan (ISP)

Odom Enrichment Center reserves the right to accept or decline service based on the individual’s needs, the center’s capacity, and clinical judgment.

Intake, Assessment & Planning

Prior to enrollment, all clients must complete an intake process which includes:

• Personal, medical, and behavioral history
• Emergency contact details
• Review of current medications and therapy requirements
• Consent forms and waivers
• Goals and objectives defined collaboratively with guardians and/or case managers

We commit to developing an Individualized Support Plan (ISP) in collaboration with the client’s support circle. This plan is reviewed regularly and updated as needed.

Family and Caregiver Involvement

We believe in strong collaboration with families, guardians, educators, and case managers. Participation in meetings, progress updates, and behavioral reviews is encouraged.

Families must notify the center of any changes in medications, diagnoses, routines, or external events that may impact the client’s behavior or well-being.

Staff & Supervision

Our staff is trained in:

• CPR and First Aid
• Crisis Prevention and De-escalation
• Behavior Intervention Techniques
• Mandated Reporting and Client Safety
• Individualized Therapeutic and Educational Support

All staff undergo background checks and receive ongoing professional development in accordance with state and federal requirements.

Client Rights

All clients at Odom Enrichment Center have the right to:

• Be treated with dignity, respect, and compassion
• Receive care in a safe, structured, and inclusive environment
• Participate in decision-making regarding their care
• Privacy and confidentiality regarding medical, emotional, and behavioral records
• Be free from physical or emotional abuse, neglect, or exploitation

Any suspected violation of rights must be reported immediately and will be investigated in accordance with regulatory guidelines.

Payment & Billing

Our services are offered through private pay, contracted services, and agency agreements (where applicable). All payment terms must be agreed upon prior to the start of services.

Invoices are due upon receipt unless otherwise stated. Non-payment may result in the suspension of services.

Families must notify us of any changes in funding sources or financial assistance programs.

Cancellation, Absences & Termination

Cancellations

We require a minimum of 24 hours’ notice for appointment or session cancellations.

Repeated unnotified absences may result in service reevaluation.

Termination of Services

We reserve the right to discontinue services due to:

• Non-compliance with care agreements
• Behavior that poses a safety risk to staff or others
• Refusal to participate in ISP development or follow-through
• Non-payment or unresolved billing issues

Termination will be handled with written notice and a transitional support plan, where possible.

Medication Administration

For clients requiring medication during care:

• A current physician’s order and parent/guardian consent must be provided.
• Medications must be in original, clearly labeled containers.
• Staff will document all administrations per policy and notify families of any missed or refused doses.

Odom Enrichment Center does not adjust dosages or initiate new medications without proper authorization.

Transportation Policy

If transportation is offered:

• Clients must be ready at the agreed-upon time.
• Any delays or changes must be communicated in advance.
• Clients must adhere to safety protocols, including wearing seatbelts and maintaining calm behavior during rides.
• Repeated behavioral issues during transport may result in suspension of this service.

Confidentiality & Data Protection

We adhere to HIPAA standards and state-level privacy regulations. All client information is stored securely and only shared with:

• Authorized guardians or caregivers
• Medical or mental health professionals involved in care
• Agencies or entities as required by law
• We do not sell, trade, or disclose personal information for commercial use.

Safety, Health & Emergency Procedures

Our center maintains a proactive safety plan, including:

• Regular facility inspections
• Fire and emergency drills
• Immediate response protocols for behavioral escalations or health emergencies
• Access to first aid and trained crisis staff at all times
• Guardians will be notified immediately in the event of an incident, injury, or medical emergency.

Media & Photography

Photos or videos may be taken for educational, documentation, or celebratory purposes. Written consent will be obtained prior to use. Parents and guardians may opt-out at any time by submitting a written request.

Changes to Terms

These Terms & Conditions may be updated periodically to reflect changes in law, policy, or service structure. Notice of updates will be provided in writing or posted at our facility and website.

Continued use of our services following an update constitutes acceptance of the revised terms.
